'Imiloa Events Planning Assistant ID# 16430
Responsible for the service and logistics of ‘Imiloa’s expanding facility rental program to advance the center’s mission and sustainability plan. Prepares rental contracts in accordance with all ‘Imiloa group and visitor policies including pricing, chaperone requirements, and capacity limitations. Responsible for logistical planning, bookings, and event oversight of up to 185 event functions annually to ensure a seamless and high-quality client experience. Coordinates client service needs (i.e., room layout, catering, audio-visual, security, and other requested services with ‘Imiloa departments and outside vendors). Maintains detail and accuracy of the center’s facility reservation calendar and system.
Three to five (3-5) years of experience in event coordination, sales, customer service, or business management experience.
ABIL/KNOW/SKILLS: Knowledge of sales and event planning. Knowledge of the Hilo and Big Island communities and the visitor industry. Knowledge of computerized facility reservation system, word processing, spreadsheet programs. Knowledge of audio-visual systems and other equipment and practices typical to the industry. Excellent verbal and written communication skills. Ability to multi-task, manage multiple projects, accurate and attention to detail, and be able to problem solve in order to effectively deal with internal and external customers. Strong organizational skills. Must be Personal Computer (PC) and multi-line telephone system literate. Must be familiar with e-mail and voice-mail methods of communication. Must possess a valid driver’s license and proof of personal vehicle insurance, and maintain throughout the duration of employment.
Post-Offer/Employment Condition: Must be able to pass post-offer criminal background check.
PHYSICAL/MEDICAL REQUIREMENTS: Able to lift and carry up to thirty-five (35) pounds unassisted.
